PURPOSE OF JOB: The job of Data Entry Technician is done for the purpose/s of processing enrollment/status data and information of new and current students; providing friendly and excellent customer service to clients; ensuring proper documents and identification is received prior to admittance; and ensuring adherence to all policies and procedures.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Assists the department staff in the efficient and courteous processing of telephone and in-personcontacts made by the public and or other District employees for the purpose of providing superior customer service and communicating effectively with the public and District employees on a variety ofissues and topics related to enrollment status of students.
- Collaborates with a variety of persons, internally and externally (e.g. enrollment status to school personnel, parent confirmation of transportation start date/time/bus route, receives interpreter request for special education staff, etc.) for the purpose of ensuring quality service to students.
- Participates in a variety of workshops and training (e.g. work with registrars at school sites on the topic of the data entry process, etc.) for the purpose of ensuring data entry is consistent and accurate throughout the district.
- Processes a variety of documents and materials (e.g. reports, notices of actions, notices of meetings, parent letters, parent contact logs, transcripts, residency verification, birth certificate, record request, immunization, etc.) for the purpose of providing required information in response to requests from students, schools, other districts.
- Processes and maintains a variety of manual and electronic documents, files, and records (e.g. grades, transcripts, student information, birth certificates, residency proof, etc.) for the purpose of ensuring that all data/information collected on new student enrolling in the District is accurate and entered on the computer mainframe.
- Provides superior customer service and communicates effectively with the public and district employees for the purpose of responding to in-person and phone inquiries, enrolling the students and directing new students to the appropriate location.

Responds to questions from a variety of internal and external sources (e.g. staff, other educational institutions, the public, parents and/or students, etc.) for the purpose of providing information and/or direction.

Serves as primary clerical support person for the various Federal Programt functions (e.g. data entries from enrollment forms/application such as admissions and after school and summer school programs, head start, early childhood, ELL, special education, etc.) for the purpose of providing administrative support when needed and ensuring effective functioning of the work unit.
- Performs other related duties as assigned for the purpose of ensuring the efficient and effective functioning of the work unit.

MINIMUM QUALIFICATIONS:
Skills, Knowledge and Abilities: Data Entry
- SKILLS are required to perform multiple tasks with a potential need to upgrade skills in order to meet changing job conditions. Specific skill based competencies required to satisfactorily perform the functions of the job include: operating standard office equipment including software and preparing and maintaining accurate records; classifying data and/or information; and screening telephone calls.
- KNOWLEDGE is required to perform basic math, including calculations using fractions, percents, and/or ratios; understand written procedures, write routine documents, and speak clearly; and solve practical problems. Specific knowledge based competencies required to satisfactorily perform the functions of the job include: codes, regulations & laws related to student enrollment, graduation and transfer; and business telephone etiquette.
- ABILITY is required to schedule activities and/or meetings; gather, collate, and/or classify data; and use basic, jobrelated equipment. Flexibility is required to work with others in a variety of circumstances; work with data utilizing defined but different processes; and operate equipment using defined methods. Ability is also required to work with a wide diversity of individuals; work with data of widely varied types and/or purposes; and utilize job-related equipment.
PROBLEM SOLVING is required to identify issues and create action plans. Problem solving with data frequently requires independent interpretation of guidelines; and problem solving with equipment is limited. Specific ability based competencies required to satisfactorily perform the functions of the job include: adapting to changing priorities; communicating with diverse groups of individuals; maintaining confidentiality; working as part of a team; working with detailed information; working with frequent interruptions; setting priorities and working under minimal supervision; working within time constraints; and ability to read, write and communicate clearly in English.
RESPONSIBILITIES include: working under limited supervision following standardized practices and/or methods; providing information and/or advising others; operating within a defined budget. Utilization of some resources from other work units may be required to perform the job's functions. There is some opportunity to effect the organization’s services.
WORK ENVIORNMENT: The usual and customary methods of performing the job's functions require the following physical demands: some lifting, carrying, pushing, and/or pulling, some stooping, kneeling, crouching, and/or crawling and significant fine finger dexterity. Generally the job requires 80% sitting, 10% walking, and 10% standing. The job is performed in a generally hazard free environment.

- Degree in job-related area or Equivalent experience.
