Job Title:                     Administrative Specialist – Exceptional Education

PURPOSE OF JOB:  Provide efficient, skillful and confidential administrative support to Exceptional Education Department

 

ESSENTIAL DUTIES AND RESPONSIBILITIES: include the following. 

 

  1. Organize and prioritize work assigned and develop office procedures to adequately support efficient workflow.
  2. Compose correspondence, reports, documents, and statistical data; often of a confidential nature.  Process incoming correspondence as instructed and prepare responses to routine correspondence independently.
  3. Complete assignment(s) in pressure situations with competence and by required deadline(s).
  4. Maintain efficient filing system designed for minimum retrieval time.
  5. Proofread/edit documents using proper spelling, punctuation, grammar, and sentence structure.
  6. Coordinate departmental projects and implement all relevant components using excellent organizational skills.
  7. Coordinate and follow up with other district staff ensuring completion of project involving multiple individuals and/or extended periods of time.
  8. Maintain calendar for Exceptional Education Director and Supervisors.  Schedule appointments, initiate travel arrangements and prepare itineraries.  Prepare materials for meetings.
  9. Determine status of office supplies, subscriptions and service contracts and prepare requisitions for same.
  10. Respond courteously and tactfully to inquiries/complaints from District patrons and refer callers/visitors to appropriate District staff.
  11. Coordinate the assembling, preparation and processing of invoices.  Track annual department expenditures to ensure the budget is not exceeded. 
  12. Prepare and submit monthly Board Doc items.
  13. Prepare, obtain appropriate signatures, and file contracts for District staff.
  14. Other duties as assigned.
