PURPOSE OF JOB: The Pre-K Programs (ERSEA) Specialist is responsible for effective processes related to pre-kindergarten programming engagement and enrollment. The Pre-K Programs Specialist will provide specific support related to fiscal and regulatory compliance toward strategic expansion, planning initiatives, policies, goals and philosophy of KCPS and the Early Learning Department.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Implements Eligibility, Recruitment, Selection, Enrollment and Attendance processes for pre-k programs, based on regulations and requirements, determines and verifies eligibility status of pre-k applicants, supporting admissions and enrollment with placement within guidelines
- Communicates effectively with families and community and district staff in a timely manner, collaborating with staff and families to navigate optimal placement
- Promotes family engagement, regularly attends and supports all recruitment and retention events, participates in fairs, meetings, leveraging community recruitment opportunities, supporting evening programs and events as needed
- Supports staffing, enrollment & financial needs of pre-k extended learning programs; completing payroll processes and documents for employees Pre-K Programs as assigned
- Tracks all billing, payments and fees for pre-k programs, monitoring payments and processes
- Maintains complete and accurate records, data entry, collection, reporting, release and acceptance of students in a timely manner, collaborates with Admissions & Enrollment Office, ensuring adherence to regulations and guidelines as established
- Maintain complete and efficient system of accurate data and records; supports recruitment, fiscal compliance, provides all information or reports requested for program audits on a timely basis
- Provides administrative, clerical, resource supports for pre-k programs as needed, providing direct assistance to staff where necessary
- Ensures successful implementation of assigned objectives as assigned, participating in program improvements, policies, or procedures to enhance and streamline processes
- Maintains professionalism with families and staff, exhibits positive attitude in a pressured time sensitive environment, handles multiple tasks in an efficient and effective manner works with minimal direction following protocols, goals, standards and measures as assigned

REQUIRED QUALIFICATIONS:
- Associate Degree in Business, Administration with core studies in accounting, business administration, administrative, secretarial or executive secretarial field or other closely related field, or three or more years of experience in secretarial or enrollment
- Advanced experience in Microsoft Excel
- Experience working with software-based data tracking and reporting systems
- Experience working with local community agencies & resources
- Strong organizational and oral/written communication skills, ability to prepare detailed reports, meet deadlines and maintain confidential documentation
PREFERRED QUALIFICATIONS:
- Excel certification
- Bachelor’s Degree accounting, business administration, administrative, secretarial or executive secretarial field or other closely related field
- Prior experience working enrollment, enrollment software, recruitment in an educational, social service or family support service environment, and experience working with low-income and community agencies
- Experience or proficiency using and generating reports from student information software systems such as Infinite Campus or other Data Systems
- Bilingual skills
