PURPOSE OF JOB:  To assist the AEL department with data entry, receptionist, and clerical support for the maintenance of reports and general office needs.  To provide support for all student service-related activities, including public information sharing and providing literature to prospective participants and program stakeholders.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:  include the following.  Other duties may be assigned.

 

  1. Provide administrative support
  2. Handle a large volume of daily phone inquiries regarding enrollment, scheduling, and program information.
  3. Welcome on-site visitors, determine the nature of business, and announce visitors to appropriate personnel.
  4. Maintain a call log and visitor registry
  5. Provide accurate and detailed program information for all incoming calls and walk-ins
  6. Disseminate program information to appropriate departments and program partners in an efficient, accurate, and timely manner
  7. Update program calendars as required
  8. Update program information via social media and other specified outlets
  9. Enter student data into spreadsheets
  10. Track and report student orientation and program services surveys
  11. Work with the Data Analyst to ensure that data collection timelines are being met
  12. Perform other clerical duties as needed, such as filing and photocopying, collating AEL documents for mass distribution
  13. Record and archive instructional and administrative staff meetings for future distribution upon approval of the Director 
  14. Maintain Reception waiting room by assuring neatness of area 
  15. Supports the coordination, planning and implementation of special projects such as the AEL Graduation and Awards Program
  16. This job requires evening work hours
  17. This job requires the candidate to be able to speak Spanish and English.
